To be further considered for this position, please apply through the following link: https://workforcenow.adp.com/jobs/apply/posting.html?client=vesgroup&jobId=127046&lang=en_US&source=CC2 General Job Summary: The primary objective of an Exam Scheduler is to schedule Compensation and Pension ( C&P ) medical exams, for Veterans and Service Members, with trained VES providers. Maintain close communication and builds rapport with providers to capture exam availability, and build a relationship of trust and confidence. Speak with veterans when needed to confirm early notice appointments. Assist veterans and/or providers with any questions they may have. Share all provider information with Provider Recruiting and Credentialing ( PRC ) Department in order to find solutions for difficult geographic areas. Essential Job Functions: 1) Search veteran cases in assigned regions within OMS; 2) Call or email providers to request exam time availability and schedule examinations; 3) Coordinate with traveling providers to conduct examinations in high volume areas; 4) Notify veterans if providers call to reschedule; 5) Add and remove provider block times into OMS when necessary; 6) Daily check and schedule cases that are assigned the Pending Follow-Up Schedule Status; 7) Always ensure the appropriate scheduler is assigned to the correct case; 8) Ask the VA for approval if veteran resides farther out than contractual mileage limitations; 9) Communicate with Call Center, Cappers, Veteran Liaisons, Diagnostics, and PRC Departments when needed; 10) Cross-train in other areas when employees are not in the office. Additional Duties and Responsibilities: 1) Occasionally attend meetings regarding difficult geographic areas in assigned region; 2) Assist other schedulers if volume in assigned region has diminished; 3) Promptly address emails and voicemails on a daily basis; 4) Must abide by HIPAA regulations by maintaining confidentiality of records and personal information; 5) Answer calls from other regions and assist the caller, or direct the calls when necessary; 6) Other duties as assigned. Knowledge/Skills/Abilities: 1) Intermediate knowledge of pertinent medical terminology; 2) Advanced verbal and interpersonal skills; 3) Advanced written communication skills, to include excellent grammar; 4) Advanced reading and comprehension abilities; 5) Advanced analytical skills and detail-oriented; 6) Advanced multi-tasking skills; 7) Advanced organizational and prioritization skills, with strong ability to meet strict deadlines; 8) Proficient typing skills; and 9) Proficient with Microsoft Word, Microsoft Outlook, Adobe Acrobat, general internet research, and beginner knowledge of Microsoft Excel. Working Conditions: 1) Casual office environment, with some exposure to mild noise from office equipment and moderate noise generated by staff members; and 2) Frequently utilizes phone, fax machine, computer, printer, and copy machines.
